Objective: gain employees trust and willingness to participate and give hones feedback in the survey.

Communication:

  1. Senior management key messages:
  2. Project objectives
  3. Project plan and milestones
  4. Anonymity disclaimers and terms
  5. Their role in the project and communication process
  6. Line managers key messages:
  7. Administration type (inhouse/supplier), data collection and reporting process
  8. Main themes to be researched
  9. Technical details: survey language, reports that they will receive, reports received by their direct reports, timeline
  10. Key messages to send forward
  11. All employees' key messages:
  12. The importance of participation and honesty, the chance to speak up and change something
  13. Project objectives
  14. Timeline, including the step that a post survey communication will be made
  15. Anonymity, terms and conditions
  16. Technical details: email from which they will receive the survey invitation, person in charge if employees have questions or technical issues.


Minimum communication:

  1. Message from HR department 2-3 weeks prior to the start of the survey sent to all employees.
  2. Message form CEO 1-2 days prior to the start of the survey
  3. Reminder from HR department 1 day prior to the start of the survey


Key messages can be reinforced through:

  • Manager to team discussion and presentations
  • HR to staff memos
  • Events with all employees
  • Campaigns to promote the project: banners in the signature of project team with links for additional info, banners displayed in the company, folders on company server where employees can access more info
