Engagement: Pre-survey communication
Objective: gain employees trust and willingness to participate and give hones feedback in the survey.
Stake: the number of participants which leads to having reliable & qualitative data
Communication:
- Senior management key messages:
- Project objectives
- Project plan and milestones
- Anonymity disclaimers and terms
- Their role in the project and communication process
- Line managers key messages:
- Administration type (inhouse/supplier), data collection and reporting process
- Main themes to be researched
- Technical details: survey language, reports that they will receive, reports received by their direct reports, timeline
- Key messages to send forward
- All employees' key messages:
- The importance of participation and honesty, the chance to speak up and change something
- Project objectives
- Timeline, including the step that a post survey communication will be made
- Anonymity, terms and conditions
- Technical details: email from which they will receive the survey invitation, person in charge if employees have questions or technical issues.
Minimum communication:
- Message from HR department 2-3 weeks prior to the start of the survey sent to all employees.
- Message form CEO 1-2 days prior to the start of the survey
- Reminder from HR department 1 day prior to the start of the survey
Key messages can be reinforced through:
- Manager to team discussion and presentations
- HR to staff memos
- Events with all employees
- Campaigns to promote the project: banners in the signature of project team with links for additional info, banners displayed in the company, folders on company server where employees can access more info
